ESPRIT-DE-CORPS: RULE BOOK

This is a book, which will help all the future members of the Esprit-de-corps committee. This book is a written document, which familiarizes the members with the experiential learning I had during the making of the very first Departmental Magazine of Commerce. The first time we thought of coming up with a Department Magazine, we faced some situations. In order to help you people deal with such situations I am writing this book.
As it was for the first time that we were coming up with the magazine, a lot of things were unknown to us. I would like to familiarize you with such unknown aspects that might help you and make things easy for you.
The idea was conceptualized Ms.Abha Shukla sometime in September, and 2girls volunteered for the editors’ post.


RULES:


1. What articles are to be published is in the Editors domain. The review committee should consist of 3 or 5 Editors (odd number) not more that. The review committee should not be known to anyone except the committee members and the faculty members. The decision on what is to be published should be based on majority i.e. if 2 or more in favor in case of 3 editors and 3 or more in favor in case of 5 editors then article should be published subject to the approval of Teacher Advisor and the HOD. Any article, which has minority, will not be considered at all.

2. One person cannot hold more that one position.

3. Positions and the role description:
Chief Editors:
Convening of the meeting, coordination of work, and selection of articles: proof reading, editions in articles e.g. grammatical etc.

Editors: selection of articles, proof reading, editions etc. Remember the only difference between the Editor and Chief Editor is that the Chief Editor convenes the meetings and coordinates work. Nowhere is this mentioned that Chief Editor is SUPREME. He or she cannot solely decide what articles to be published etc. A majority in Editors is required for the same.

Treasurer: Collection of money from students, safekeeping of money, preparation of accounts. From each college one representative can be selected who can collect the money from his or her college and submit it to the Treasurer, for convenience sake you can have one Treasurer from final year and one from previous year.
They should keep with them all the receipts of expenses and be ready with the final accounts as and when required. They will have to give a written account on the day of the release of the Magazine, any one who has contributed money can ask for the accounts.

Publishing Department: These people will be going to the publishers as and when required and do the necessary work.

4. Fund Raising : Three sources of finance are:
A. Students of the department
B. Faculty Members
C. Sponsors



5. Kind of articles: The ratio is 40% general articles including poetry, creative work relating to socio economic issues. Religious articles should not be included as religion is a sensitive issue.
60% of the articles should be commerce related. The tutees work that students have done can be shortened and used. Articles from faculty can be invited, interviews from foreign students, database of students (as suggested by The HOD).

6.Kindly follow direct communications to avoid any problems. If you want to talk about the Magazine talk in meetings. Do not call each other to discuss issues.
Bring to the notice of everyone that you thing is important for the committee.

7.Begin the work in the beginning of September so that you can come out with the issue before December holidays. One meeting per week will be a good idea.
